RoadLife Terms of Use

1. Service Description

RoadLife is an automated expense reporting application designed for professional pilots. The app detects your flights from FAA flight data (and FlightAware for international trips), matches the card charges in your company’s SAP Concur account to your trips, and builds expense reports in Concur for you to review and submit. By using RoadLife, you agree to these terms.

2. Subscription Terms

• RoadLife is offered as an auto-renewing subscription service at $19.99 per month or $199 per year
• Payment is billed through Apple via your App Store account
• Your subscription automatically renews at the end of each billing period — monthly or annual, whichever you chose — unless cancelled at least 24 hours before that period ends
• New subscribers receive a 14-day free trial; if you do not cancel at least 24 hours before the trial ends, your subscription begins and you will be charged
• You can manage or cancel your subscription at any time in iPhone Settings > your name > Subscriptions; cancellation takes effect at the end of the current billing period
• Refunds are handled by Apple under its App Store policies; you can request one from the Plan screen or reportaproblem.apple.com

3. Account & Eligibility

• You must be at least 18 years of age to use RoadLife
• RoadLife is intended for professional pilots with legitimate expense reporting needs
• You may maintain only one account per person
• You are responsible for maintaining the security of your account credentials and device access

4. Acceptable Use

• You agree to use RoadLife only for its intended purpose of expense tracking and reporting
• You may not reverse engineer, decompile, or disassemble any part of the application
• You may not share your account credentials with others or allow unauthorized access
• You may not use the service to submit fraudulent expense reports
• You may not attempt to interfere with or disrupt the service or its infrastructure

5. Data & Privacy

Your use of RoadLife is also governed by our Privacy Policy, which describes how we collect, use, and protect your data. By agreeing to these Terms, you also acknowledge and accept the Privacy Policy.

6. Third-Party Services

RoadLife integrates with third-party services that are subject to their own terms and conditions:

• SAP Concur — your card charges and expense report creation (you submit the report in Concur)
• FAA — flight data used to detect and track your flights
• FlightAware — flight lookups for international trips
• Apple — authentication, push notifications, and subscription billing
• Google — authentication

RoadLife is not responsible for the availability, accuracy, or terms of these third-party services.

7. Intellectual Property

• RoadLife and its original content, features, and functionality are owned by Phenix Solutions
• You retain full ownership of your personal data, expense records, and exported reports
• You may not use RoadLife's name, logo, or branding without prior written permission

8. Disclaimer & Limitation of Liability

• RoadLife is provided "as is" without warranty of any kind, express or implied
• RoadLife is a tool to assist with expense reporting — it is not a substitute for reviewing your own expense reports before submission
• We do not guarantee the accuracy of flight detection, transaction matching, or the reports built in Concur
• You are solely responsible for verifying the accuracy of any expense reports before approving them
• In no event shall Phenix Solutions be liable for any indirect, incidental, special, or consequential damages arising from your use of the service
• Our total liability shall not exceed the amount you paid for the service in the preceding 12 months

9. Termination

• You may cancel your subscription and stop using RoadLife at any time
• We reserve the right to suspend or terminate accounts that violate these terms
• Before account deletion, you may export all your data via Settings > Export My Data
• Upon termination, your data will be permanently deleted within 30 days

10. Changes to These Terms

We may update these Terms of Use from time to time. If we make material changes, we will notify you via the app or email. Your continued use of RoadLife after changes are posted constitutes acceptance of the updated terms.
